Terms of Service

Business terms for the MV Fleet Compliance subscription, payment, setup services and customer use.

1. Who provides the service

These terms govern business use of the MV Fleet Compliance software service. The provider is trading as (“MV”, “we”, “us”). The customer is the business or organisation that creates or accepts an account (“Customer”, “you”).

2. Business service and authority

MV Fleet Compliance is supplied for business use by transport operators and related organisations. The person registering must be authorised to bind the Customer and administer its users. The Customer is responsible for deciding which staff, drivers and contractors may access its account and for removing access promptly when it is no longer required.

3. Subscription, payment and pricing

Standard subscriptions include a 14-day free trial and are then monthly rolling and payable in advance through Stripe. During signup, the Customer must complete secure Stripe Checkout and provide an accepted payment method before the free trial starts. No recurring subscription charge is taken during the 14-day trial. The first monthly subscription charge is attempted automatically when the trial ends, and later renewals are charged monthly in advance on the Stripe billing date.

Card and Bacs Direct Debit are the supported launch payment methods. Bacs Direct Debit is a delayed payment method, so a debit may remain processing for several business days. MV will not suspend access merely because a legitimate Bacs payment is still processing. If Stripe confirms that a subscription payment has failed, requires customer action, remains unpaid after the applicable payment process, or the subscription has ended, MV may restrict access until billing is brought up to date.

Customers can use the secure Stripe Customer Portal made available from MV Fleet Compliance to update billing details and payment methods, view Stripe invoices and payment history, and cancel future renewals. Cancellation takes effect at the end of the current billing or trial period shown by Stripe unless otherwise stated. Customers cannot switch package or alter chargeable fleet/driver quantities directly in Stripe; those changes are controlled by MV Fleet Compliance so package allowances can be checked.

  • Micro Operator: £29/month, including up to 3 active vehicles, 6 active trailers and 6 active drivers.
  • Small Operator: £59/month, including up to 9 active vehicles, 18 active trailers and 15 active drivers.
  • Growing Fleet: £99/month, including up to 20 active vehicles, 40 active trailers and 35 active drivers.
  • Larger Fleet: 21+ active vehicles — fixed quotation.
  • Additional fleet unit: £6/month, adding capacity for one additional active vehicle or two additional active trailers.
  • Additional active driver: £3/month.

Only active vehicles, trailers and drivers count towards standard usage charging. If the active trailer count exceeds the package trailer allowance, each additional £6 fleet unit increases the trailer allowance by two. Where a higher standard package would be cheaper than accumulated additional-usage charges, MV may recommend the more appropriate package.

Optional Digital Assisted Setup is a one-off charge based on the selected fleet package: £295 Micro, £395 Small and £495 Growing. MV Compliance Setup is £595 Micro, £795 Small and £995 Growing. These setup charges are collected through Stripe at signup when selected. The recurring subscription remains free during the 14-day trial.

VAT is added only where legally applicable at the time of supply. Current displayed launch prices are not shown as VAT-inclusive unless VAT is legally chargeable.

4. Setup services and consultancy retainers

Self-Service Setup is free. Digital Assisted Setup is £295 Micro, £395 Small or £495 Growing where the Customer supplies organised, readable digital files. MV Compliance Setup is £595 Micro, £795 Small or £995 Growing and includes the additional initial compliance review described at purchase. Optional setup work is separate from the software subscription and its scope is limited to the service selected or otherwise agreed in writing.

Where the Customer asks MV to digitise physical compliance folders, Paper File Scan & Setup is priced at £495 Micro, £795 Small and £1,195 Growing, subject to the archive being reasonably organised and suitable for scanning. Larger, unusually disorganised or exceptional archives will be quoted before work starts. The Customer is responsible for secure delivery of the original files to MV. Return delivery is charged at £25 per archive box or parcel using a tracked UK-mainland service; Highlands, islands and Northern Ireland are charged at actual courier cost. Courier transit remains subject to the carrier's terms and risk.

Where MV Fleet Compliance access is provided as part of a separate consultancy retainer with Michael Manning trading as MV Transport Consultants, the consultancy fee is invoiced under that separate consultancy agreement and no separate standard software subscription is charged for the included platform access unless expressly agreed otherwise. Consultancy-retainer invoices follow the agreed consultancy payment dates and are not processed through the platform subscription prepayment/suspension workflow.

5. Core functionality and developing features

Paid packages are priced primarily by operation size rather than by deliberately removing core compliance functions. Features may be introduced, improved, replaced or withdrawn as the platform develops. Any feature described as “coming soon”, beta, pilot or planned is not part of the currently guaranteed service until released.

MV-to-MV connectivity between MV Fleet Compliance and MV Workshop, when released and used by both parties, is intended to be included without a separate MV API charge. Third-party integrations may be subject to separate terms or charges.

6. Customer responsibilities

The Customer remains responsible for its transport operation and legal duties. This includes the accuracy of information entered; setting correct PMI frequencies and other inspection intervals; acting on defects, expiry dates and alerts; maintaining operator-licence undertakings; verifying driver entitlement; retaining legally required evidence; and ensuring users are appropriately trained and authorised.

The Customer must ensure that it has an appropriate lawful basis and, where required, an additional condition for any special-category personal data that it chooses to record. It must give its drivers, employees and other data subjects appropriate privacy information.

7. Compliance status and regulatory disclaimer

MV Fleet Compliance is a compliance-management tool, not a legal guarantee.

Green/amber/red status, reminders, reports, policy tools and FORS-ready processes help organise evidence and actions. They do not guarantee compliance with operator licensing, DVSA requirements, drivers’ hours, health and safety law, FORS accreditation or any other legal or contractual standard. Regulatory decisions remain the Customer’s responsibility.

8. Accounts, passwords and acceptable use

Users must keep credentials confidential, use individual accounts where provided and notify the Customer/MV promptly of suspected compromise. The service must not be used unlawfully, to access another customer’s information, to introduce malicious code, to interfere with security controls or to overload the service deliberately.

9. Customer data, data protection and security

The Customer retains responsibility for and control of the operational data it submits. The Data Processing Addendum forms part of these Terms where MV processes personal data on the Customer’s behalf. 10. Availability, maintenance and backups

MV will use reasonable care to operate the service and may perform maintenance, security updates and emergency changes. Internet, hosting, email, push-notification, browser and third-party service failures can affect availability or delivery. Customers should not treat a notification as the only control for a legally critical deadline and should maintain appropriate management oversight.

11. Intellectual property

MV and its licensors retain intellectual-property rights in the platform, software, templates, branding and generic content. The Customer retains rights in its own uploaded documents, branding and data. The Customer gives MV the limited rights needed to host, copy, process and transmit that content solely to provide, secure and support the service.

12. Suspension and termination

MV may suspend access where reasonably necessary for security, suspected misuse, legal requirements, material non-payment or material breach. Where practicable, MV will give notice and a reasonable opportunity to remedy. On termination, access may cease. Data handling following termination is governed by the Data Processing Addendum, applicable law and any agreed export arrangement.

13. Liability

Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, neither party is liable for indirect or consequential loss. MV’s aggregate contractual liability arising from the paid software service in any 12-month period is intended to be limited to the fees paid or payable for that service during that period, except where a different limit is agreed in writing or required by law. Customers should obtain legal advice if they require different contractual risk allocation.

14. Changes

We may update these Terms for legal, security, technical or commercial reasons. Material changes affecting an existing paid subscription will be notified through the platform or the Customer’s registered contact details where reasonably practicable.

15. Governing law and contact

The governing law and courts will follow the jurisdiction in which is registered, unless a written agreement provides otherwise. Contact: .
